Editing a Work Order

  • To edit and manage an active work order, click on an active work order to open it in a single view.

  • From the single view you can view all relevant details and records about a work order. Details and information can be edited directly from this view. You can edit:

    • Details

    • Company

    • Status/Priority

    • Due Date/Assignee

    • Floor/Suite

    • Labor & Materials

    • Attachments

Statuses

  • You can update the status of a work order to note the progress. The statuses you can apply to a work order vary depending on your building and are customizable, but some common examples include:

    • New

    • In Progress

    • Awaiting Parts

    • On Hold

    • Waiting Approval

    • Closed

  • In the main menu for Work Orders, you can search for a work order by status.

Adding Charges and Equipment

  • You can add details about the labor or required materials for a work order by clicking “charges,” then “add.”

For labor, you must fill in the fields for employee and labor rate (the rates are determined on a role basis. The optional fields are:

  • Date performed

  • Billable (check this box if this work order will be charged to the building)

  • Markup

  • Hours of labor

  • Price (is automatically populated by the labor rate specified, but can be customized)

  • Any relevant notes

  • The same fields apply for materials, but in this case, you can select a material from the list of materials.

  • If a work order incurs a cost, you may fill in the optional fields, including markups, hours worked, and the price (determined by the labor rate field. At the bottom of the window, the total costs are itemized.

  • The work order page will now show the charge you added.

Watchers and Sharing

  • You are also presented the option to share the work order details (direct link or another user) and add Watchers. A Watcher will receive all relevant notifications for a work order they are added to, including changes to status and the addition of comments. This function is located in the upper right of the Work Order window.

  • You can also Share a work order with an external email address. Click on the Share button to open a dialogue that includes a link to the work order that can be copied and shared, and allows you to enter the email addresses of any recipient not in the BuildingHub system. Note that if the recipient does not exist in BuildingHub, you’ll be prompted to create the email address, saving it to the system.
