COIs

  • COI’s, or certificates of insurance, are vital for a building’s operations. BuildingHub makes it easy to keep track of their status and expiration dates.

  • To create a COI entry, navigate to the COI Dashboard module under OperationsHub.

  • Click + Create New located in the top right corner of the page.

  • Begin entering the required fields, including the Title (can be anything, but we recommend a title relevant to the service provided by the vendor), valid date range, and a copy of the COI (Note: File must be a PDF.) Fill in the company name, status (Pending, Compliant, Not Compliant), and contact emails for the vendor. Select Save Document to complete the entry.

  • The COI dashboard provides useful information at a glance, including whether the document is compliant and how close it is to expiring.

  • BuildingHub will provide notifications via email to notify users when a document is close to expiring, first about 15 days prior to expiration, then again when expired. It can also reach out to contact emails provided in the COI entry to send an updated document before expiration. By default, the user who created the COI will be notified whenever expiration is pending or has passed.

  • When adding a COI, contact emails, including external users not in the BuildingHub system, can be added to the form to specify who will be notified when a COI is about to expire. If an email address is new to the system, when entering it into the “Contact Emails” field, you will be given the option to create the address.

  • In the event of a noncompliant or expired COI, the page for the COI in question has a “Remove PDF” button, which allows the user to replace the document with a new PDF of a COI request letter.
